Reimbursements
From your arrival on April 2/3 to your departure, your meals, lodging, and ground transportation will be taken care of by the Foundation. Full details on reimbursement policy and the required form can be downloaded here. Please send scans of any items submitted for reimbursement and a completed and signed reimbursement form to Jayla Brown by Friday, May 11. Please send your request as a SINGLE PDF to help us process your requests faster!
You can anticipate that you will be reimbursed for:
- Transport to/from your home airport (taxi, Uber, Lyft, etc.) to/from your home airport, or parking at your home airport
- Ground transport to and from the ATL airport and the Hilton/GICC on arrival and departure days
- Mileage if you are driving to Atlanta, determined from your home address to the Hilton Atlanta Airport
Please note that the following expenses are NOT reimbursable:
- First class airfare
- In-flight movies/refreshments/wifi access
- Misc. Hotel Expenses (movies and other forms of personal entertainment, valet, mini bar, telephone, internet connection, etc.)
- Tips in excess of 20% and/or tips in addition to pre-applied gratuity
- Alcoholic Beverages
- Meals purchased during times meals are provided by CCSF
- Reimbursement for personal miles in excess of the cost of airfare to the same destination
Lodging
Coke Scholars Weekend is headquartered at The Hilton Atlanta Airport (1031 Virginia Ave, Hapeville, GA 30354). The Foundation has booked a room for each facilitator from arrival April 2/3 to departure April 6. You do not need to make your own reservations. Check in at the front desk -- your room is reserved in your name as part of the Coke Scholars block.
For the layout, details on parking (for those driving) and more, check out their website. Note that check-in is 4 pm. For those who arrive earlier on Thursday, April 3, we intend to have some rooms reserved for changing prior to departure to LDI training and the banquet. We recommend that you come prepared with your Banquet attire on (business dress). You can check your bags at the hotel.
If you are driving, you may either arrive at the hotel by noon to depart to the Georgia International Convention Center, or arrive at the GICC (for training and the banquet) closer to start time, planning to check-in to the hotel after the banquet. We will update start times later.
Ground Transportation ATL to the Hotel
- If you are flying into Atlanta and land by noon on April 3, we recommend the FREE Hilton Atlanta Airport shuttle (the shuttle from the hotel to the banquet site will depart at 2 pm).That should give you enough time to check in and freshen up before departing.
- If you land after noon on April 3, we recommend proceeding to the banquet site. Take the ATL Skytrain towards the Rental Car Center and get off at the GICC Gateway Station. Follow signs to enter the GICC. You can store your bags there on site.
- There may be space to jump on the bus with arriving Scholars from the airport. At the top of the arrival escalator, look for Coke Scholars Weekend staff in red holding a Scholars sign to ask for directions to the bus coordinator, who can tell you if there is space available. (New Scholars have priority.) If there is space, this would be a great way to start getting to know the new Scholars!
If no space is available or your schedule doesn't allow, you may:
- Take a cab from the airport (you will be reimbursed) – please carpool with other arriving alumni as best as possible to help reduce the cost.
- Take an Uber/Lyft from the airport (you will be reimbursed) -- click here for info on how to find Uber/Lyft at Rideshare at ATL – please carpool with other arriving alumni as best as possible to help reduce the cost.
