SCHOLARS WEEKEND UPDATE RECAP

A summary of all the information sent to you in our Scholars Weekend update emails.

Download the Guidebook App on Your Phone

This is a must do!

We will use the app Guidebook for the Weekend program. All Scholars are expected to download Guidebook, particularly in the case of changes of schedule or emergency communications. Guidebook will be a vital tool throughout your time in Atlanta.

While we are still adding features and final details to Guidebook, you can now find an overall schedule, answers to FAQs, and bios and photos of your fellow Scholars. (If you submitted your bio or photo within the last week, it will be in Guidebook soon!)

Bios and photos of CCSF staff and the alumni who will work with you as facilitators during the Leadership Development Institute during Scholars Weekend will be posted as well.

As CCSF incurs a fee for each download, we request that you please download the Scholars Weekend Guidebook App only once.

To download the Scholars Weekend Guidebook App:

  • Download Guidebook from your provider's app store and open the app
  • At the bottom right, select "Find Guides"
  • Towards the bottom, select the blue box "Have a passphrase?"
  • Enter the passphrase "2019CokeScholars" and select "Continue"
  • When the "2019 Coca-Cola Scholars Weekend" guide pops up, select "Download"
  • Once you have opened the guide, use the menu in the upper left corner to explore

If Flying to Atlanta

If we are booking your flight, you should have received your itinerary by now. You may check-in either when you arrive at the airport at the airline's kiosk or online 24 hours in advance using the airline's website and print your boarding pass before you go to the airport. Plan to arrive at the airport at least 90 minutes prior to your scheduled departure.

Closer to your arrival, you will receive more information about how to navigate from your arrival gate to baggage claim to meet the Coca-Cola Scholars Weekend security team who will bring you to where you need to be!

If Driving to Atlanta

If your parents or guardians are driving you, follow the driving instructions in Guidebook and have them drop you off at the motor lobby of the Georgia Tech Hotel & Conference Center any time on Thursday, April 4, before 12 p.m. (noon). You will need to be picked up from the hotel by 10:30 a.m. on Sunday, April 7.

The hotel is located at 800 Spring St NW, Atlanta, GA 30308.

If you are driving yourself, self-park in the parking garage. Go into the hotel, and find the Coke Scholars Hospitality Room, which is the Grand Ballroom located on the second floor. Give your parking ticket to the Coca-Cola chaperone at the check-in desk for payment. A reimbursement form will be provided to you for driving-related expenses.

Need a Letter of Absence?

If you need to provide your school documentation of your absence in attending Scholars Weekend, click here to download a memo that includes all of your names in a single document.

Find Your Roommate, LDI Unit

Click here to download an Excel document that contains one tab with the Unit and Sub-Unit assignments for the Leadership Development Institute and another with the Scholar roommate pairing.

  • For LDI, remember that you will work with all three of your facilitators in full Unit exercises, and then with your lettered group in smaller reflections and conversations. Read about your facilitators (and all the LDI alumni) in Guidebook!
  • For roommates, the list is sorted first by women then by room assignment. We have made assignments accounting for arrival and departure times, and after that randomly. We are unable to make changes to the roommate assignments.

Flying to Atlanta and Getting to the Hotel

NOTE: The airfare purchased for you includes a carry-on allowance; carry-on luggage should be ample for your visit to Atlanta. If you choose to check a bag, you are responsible for paying checked-bag fees.

If you have any trouble while traveling, call our travel agency, Carlson-Wagonlit, at 888-571-2653 and enter prompt 5, between 7 a.m. and 7 p.m. CST. If outside of that time frame, call 800-469-3939 and reference ID-DI2. (This information is printed on the travel itinerary you received earlier.)

Once you arrive in Atlanta, follow the signs to baggage claim, which may include riding the Plane Train, a people-mover inside of the airport that takes passengers from their concourse to baggage claim.

After departing the train, you'll ride a tall escalator up to where Coca-Cola hosts in red shirts will be waiting for you, and they will take you to the Hilton hotel.
